Beta Hotel Reservation Rules

  1. Reservation Methods

    We accept applications from individuals:

    • by telephone at (495) 792-98-50 (24 hours a day)
    • by telephone at (495) 792-99-13 (from 9 a.m. to 9 p.m.)
    • by fax at (495)792-99-14 (Fax)
    • by e-mail at bron@hotelbeta.ru

    We accept applications from corporate entities:

    • by telephone at (495) 792-99-11 (from 9 a.m. to 6 p.m.)
    • by fax at (495) 792-99-12
    • by e-mail at bron@hotelbeta.ru
  2. Working Hours of Reservation Department

    The Beta Hotel Reservation Department processes applications 24 hours a day.

  3. Information Required for Making a Reservation

    For individuals: full name; check-in/check out date and time; room category, and number of rooms.

    For corporate entities: check-in/check out date and time; room category, number of rooms; and method of payment. For companies who choose to pay for hotel services by bank transfer company details should be specified in full. It is advisable to notify the Reservation Department by sending a name-by-name list of arriving guests.

    If no check-in time is specified, rooms are reserved from 12:00 noon. Written applications should contain contact details (telephone, fax, e-mail). Applications may be formulated in an arbitrary fashion.

  4. Timeframe for Sending Confirmations

    We confirm written applications (by e-mail, fax, and online reservations) within 3 hours from receipt.

    Reservations by telephone are made on a real-time basis.

    If hotel services are paid for by bank transfer, a copy of the advance invoice will be sent together with the confirmation.

    The Beta Hotel notifies of reservation results using the same medium as was used by the application sender (telephone, fax, e-mail, online).

  5. Methods of Payment and Rating Period

    For individuals: in cash upon accommodation.

    For corporate entities: by bank transfer, in cash upon accommodation. A 100% down payment in cash is acceptable.

    For payments by bank transfer, payment should hit the hotel transaction account not later than 3 business days before the check-in date. If a transfer was made but not received within the specified period, a copy of the money transfer should be sent by fax at (495) 792 99 14 by prior agreement with the Reservation Department Manager. If no payment was made, the method of payment may be changed for cash payment by prior agreement with the Beta Hotel Reservation Department, otherwise the application will be canceled.

    Rating Period. The information about current rates is published on the official website of the Beta Hotel in the section Prices. In the event of any changes in accommodation rates, new rates are published on the official website of the Beta Hotelnot later than 10 days before they come into effect. The Beta Hotel bills are settled using rates effective as of the date of provision of services.

  6. Application Status

    An application is considered to be unconfirmed after the receipt from the Beta Hotel Reservation Department of a written or verbal notification specifying the reason for rejection.

    An application is considered to be confirmed after the receipt from the Beta Hotel Reservation Department of a written or verbal notification specifying the ACS (reservation) number.
    Confirmed applications have 2 statuses:

    Guaranteed Reservation — applies to cases when a down payment has been made for the hotel services or a relevant agreement has been entered into by and between the corporate applicant and Beta Hotel. This is one of the types of reservation guaranteeing provision of a room throughout the entire paid period. For example, a room booked during February 21–28 will be reserved for 24 hours irrespective of whether a guest has arrived or not. In this case, however, no refund shall be given for services not provided.

    Unguaranteed Reservation — applies to cases when hotel services are paid for upon accommodation. This type of reservation does not guarantee the hotel any receipt of payment for a client who has not arrived. Therefore, if a guest has arrived before the declared hour for cancellation of a reservation, an application may be canceled.

    Hour for cancellation of unguaranteed reservation. The room booked by a guest will be reserved until 9 p.m.

  7. Cancellation of a Reservation

    In case of Unguaranteed Reservation, an application is canceled automatically without a prior notice, if a guest/guests has/have not arrived at the hotel before the declared hour for cancellation of a reservation.

    A reservation may be canceled without prior notification, if an application specifies payment by bank transfer, with no payment made within the established period.

    In case of guaranteed Reservation , an application may be canceled by relevant individual or corporate entity only. To cancel this type of reservation, a client should notify the Beta Hotel Reservation Department in writing or verbally not later than one business day before the check-in date, specifying the ACS (reservation) number. The application is considered to be canceled upon receipt of a written or verbal confirmation from the Beta Hotel Reservation Department.

    If the Hotel has performed all its obligations while the application has not been canceled, no refund shall be given for services not provided.

  8. Change of Information Contained in Confirmed Application

    To change the information contained in a confirmed application, a client should notify the Beta Hotel Reservation Department in writing or verbally, specifying the ACS (reservation) number. Changes are considered to be confirmed upon receipt of a written or verbal confirmation from the Beta Hotel Reservation Department. If the Hotel has performed all its obligations while the application has not been changed, no refund shall be given for services not provided. The Reservation Department may reject an application, if relevant changes are not feasible. In this connection, the application will not be canceled until the relevant request is received from the applicant.

  9. Refunding

    If an application has been canceled (changed) in accordance with these Rules, a refund for services not provided will be given after a written or verbal application to the Beta Hotel Accounts Department. The Accounts Department can be contacted through the Beta Hotel operator by telephone at (495) 792 98 98. When contacting the Accounts Department, a client should specify the application number or the name of company who paid for hotel services.

  10. Accommodation Arrangements

    Accommodation arrangements at the Beta Hotel are made at the Reception Desk on the first floor in the Lobby. The Hotel Administrator should be told the ACS (reservation) number or the name of the corporation entity who has made a reservation

    To obtain accommodation at the Hotel , it is necessary to produce a passport or other means of identification.

  11. Check-Out Time

    The check-out time at the Beta Hotel - 12 noon. Guaranteed check-in time: 2 p.m., if rooms are available upon arrival of a guest.

    When accommodation is provided before the check-out time (from 12 midnight to 12 noon), clients are not charged, while rooms are provided only if available. When extending the accommodation period for less than a night: from 12 noon to 6 p.m. – clients are charged on an hour basis, from 6 p.m. to 11 p.m. - clients are charged for 12 hours, from 11 p.m. – clients are charged for 24 hours.

  12. Accounts Department: accounting documents

    For corporate entities. If hotel services have been paid by bank transfer, the following documents are provided: an invoice (with "Accommodation at the Beta Hotel," check-in date, and check-our date, specified in the column "Description of Goods. Description of Services Rendered"), a cashless invoice (specifying full name, room number, accommodation period, and amount). If hotel services have been paid for in cash, a cash voucher and an invoice are provided. The Act of Services Rendered is completed at a client's request. Cash vouchers are provided upon payment, while the other documents are issued within 2 business days upon provision of purchased services. Copies of relevant documents may be sent by fax. Original document may be received at the Accounts Department on the second floor of the Beta Hotel or by mail.

    For individuals. Upon payment in cash, individuals are provided with a cash voucher and Form ZG. Form ZG is a financial document approved by Order of the Ministry of Finance of the Russian Federation No. 121 of December 13, 1993, for entities providing hotel services. The following information is indicated: details of the entity that issued this document, description of hotel, full name, accommodation period and price, cost of additional services. In the accounting instruments, meals are specified in a separate line. These documents are provided upon payment for hotel services.
